Reservations

Inn-FO II allows you make group reservations, as well as individual reservations. Rates are calculted using valid dates and room types entered into the system by the user. Other features include:

No need to re-enter guest data, you can retrieve information from Guest History.
Non-Guaranteed reservations may be cancelled daily at a predetermined time.
Overbooking is password protected. You cannot overbook unless you know the Overbook Password.
Special Requirement Dates display any special requirements, such as deposits and minimum stays.
Support for Sharewiths, Confirmations, and Travel Agent Accounting.

Registration

Guests with or without reservations can be checked in using a single program, saving time and effort. Other features include:

Clerks can view room availability and rates.
Guest history can be accessed during registration.
Up to four folios may be registered to each room.
Group rooms, such as a tour, can check in using mass group check in or master folio check in. No need to check in rooms individually.
Rates can be overridden.
Payments on account can be entered during registration, eliminating the need for a separate payment transaction.
Non-standard sales tax rates may be selected for any individual.
One transaction can be used to move a guest to another room, without the need to re-key guest information.

Guest Accounting

Guest Accounting allows the user to add charges, payments and other credits to guest accounts. It is also used to check out guests. Features include:

Charge/Credit entry is much faster than traditional posting machines.
Today's transactions can be changed or voided, but not deleted.
All programs that add money transactions require the clerk to key in a personal identification number.
At check out, the clerk enters the room number of the guest and the folio is displayed, then printed.
Folios may be split at check out time.
A clerk can enter a reservation for a guest during check out with very few keystrokes.

Advance deposits are automatically transferred from the Advance Deposit Ledger to the guest folio

Folio Archiving

Each checked out guest folio is retained in the system for future retrieval. There is no limit to the number of folios that can be archived. No more cluttering up closet space or spending hours searching through boxes for a folio.

Marketing

Inn-FO II provides you with valuable statistics which can be used in your marketing efforts. Market Segment and Source of Business codes are defined by the hotel and entered for each guest at registration. Room nights and Room revenue are accumulated for the last twelve months for each Market Segment and Source of Business. A built in Zip code database is updated every time a guest is checked in. A Zip code analysis report identifies the geographic source of business

City Ledger

City Ledger is a special accounts receivable for hotels. It can be operated as part of the Front Office or from the Back Office. Direct bill charges are automatically transferred from the Front Desk, however they are available for review before final posting to the account. Cash receipts can be entered directly from the Back Office or the Front Desk. Customer statements and City Ledger Aging can be printed upon demand.
